Finish a job — complete, invoice, cancel or reopen

A job ends Completed or Cancelled. Completing it unlocks invoicing; until an invoice exists (or you say one is not needed) the job stays flagged Needs invoice.
Complete the job
Open the job and use Complete job (Complete job? on the web, Complete this job? in the Zaras app). If the job still has upcoming visits, the web asks Complete job with upcoming visits? — completing cancels them, and reopening brings them back. When a technician completes the last visit, the job offers All visits complete with a Complete job button, so most jobs are completed from the field.
Needs invoice, and its exits
A completed job with no invoice shows Job completed but not invoiced, and the Needs invoice filter on the jobs list collects them. There are three ways out:
- Create invoice — makes a draft invoice from the job's line items and opens it. A zero total asks first (Create invoice?); a job with no client cannot be invoiced until you add one. Later invoices use Create another invoice.
- Link invoice — picks an existing invoice for the same client that is not linked to a job yet (Link an existing invoice, searchable by number, amount or date). Voided invoices cannot be linked.
- No invoice needed — for warranty work or work billed elsewhere. No invoice needed? takes an optional reason; confirm with Mark as no invoice needed. The job shows who marked it and when; Undo reverses it.
Unlinking an invoice from a completed job flags it again.
Cancel, or say it never started
Cancel job asks Cancel job? with an optional reason; Keep job backs out. A cancelled job stays in the cancelled jobs list, and its open visits are cancelled with it; if the job is already in progress, the prompt suggests completing instead when the work was done. Restore job returns a cancelled job to active and brings back those visits.
Mark not started appears on a job in progress: it reverts the job to active and any running visit to planned, and planned visits stay scheduled. Use it when someone clocked in by mistake.
A completed job offers Reopen job to keep scheduling and logging work.
After completion
- Send follow-up emails the customer from a template: on the web a Follow-up template, Thank you or Request review; in the app the Send Follow-Up screen offers Thank You or Request Review. It needs an email address on the contact; the text-message version is not available yet.
- Duplicate job creates a new active job copied from this one, including its line items — useful for repeat work not set up as recurring. Offered on completed and cancelled jobs.
Who can do this
Completing, cancelling, reopening and duplicating need the jobs permission; creating or linking an invoice needs the invoices permission. Owners, admins and technicians hold both by default; if an action is greyed out or missing, ask an owner or admin to grant it to your role.
